What arrives, where it goes, who can see it and what it tells you — written for the people who run admissions rather than the people who build software.
Not a generic CRM with the labels swapped. Each part was shaped around how an admissions team actually works — the team structure, the follow-up rhythm, and the fact that a student stalls for a reason worth writing down.
One record per enquiry, carrying where the student came from, the campaign that produced them, who owns them, what stage they are at, and every change anyone has made.
Drag a student between stages and every card, counter and chart on the screen updates with them. Nothing goes stale in a corner.
Due dates and priorities sorted into Overdue, Today and Upcoming, and shown on the student row itself so nothing rots quietly in a list nobody opens.
Send each new enquiry to the right counsellor by source, course, region or simple rotation — and tell them the moment it arrives.
Assignment, stage changes and conversions appear the instant they happen, with a chime. Alerts follow the role, so managers are not pinged about their own actions.
Search across students, tasks and people from anywhere, and save the filter sets you return to. The list, the counts and the export always agree.
Bring a spreadsheet in with duplicate checking against what you already hold and against the file itself. Send any filtered view out to Excel exactly as you see it.
Every stage move, reassignment, edit and deletion is recorded with who did it and when, so "who changed this" is always answerable.
Deleting is reversible by default — the record moves to Trash and can be brought back intact. Permanent removal is a separate, admin-only action.
An enquiry that arrives twice is one student, not two. Every route below lands in the same place, carries the same credit, and is checked against what you already hold.
Build an enquiry form, publish it at its own link, and put it anywhere you like.
Facebook and Instagram lead forms arrive in real time, already attributed to the ad.
An enquiry that starts as a message is matched to the existing student or opened as a new one.
A tracked link per form, per agency — credit recorded without anyone typing it in.
Map your columns, check the data, and catch duplicates before a single row is saved.
Send enquiries straight in from a landing page or system you already run.
A flat list of statuses can tell you a student has gone cold. It cannot tell you the phone rings unanswered, the marksheet is still pending, or that they are waiting on a scholarship decision. Three connected levels can.
Hot Lead→Documents Requested→ID proof pending
A student who was messaged on WhatsApp, called twice and emailed a fee structure should not take three tabs to reconstruct. Every message out and every reply back attaches to the student it belongs to.
Templates and replies, kept on the student timeline with delivery and read status beside them.
Dial from the record, and keep the outcome, the duration and the recording attached to it.
Compliant transactional messages, with delivery confirmed back against the message that was sent.
Approvals, password resets and confirmations, with delivery and bounces recorded.
You are not locked to one supplier. Each channel connects to whichever provider you already use, so changing vendor does not mean changing the CRM.
A report that arrives after admissions close is history, not management. Every figure here comes from the same live data as the screen you were just looking at, so the two can never disagree.
The stage students stop moving at, with the numbers behind each step.
The channel that produced admissions, not merely the one that produced volume.
Conversion and response behaviour, per person and per team.
Contacted, reachable or gone quiet — tracked separately from the sales stage.
Referrals, progress and admissions per agency and per link.
Any view, exactly as filtered on screen, stage and reason included.
Consultants and education agents get their own portal, their own login and a tracked link for every form you publish. What they never get is your student list.
An agency applies through a form of yours. Nothing is visible to them until you approve it.
Approve from the Partners screen and the account is activated and notified for you.
Every form you publish gives each agency its own link, with its own running count.
A student arriving through that link is credited to the agency the moment they submit.
No edits, no stage changes, no exports, no staff screens, and no phone numbers they did not collect.
Last sign-in, time actually worked, referrals per month and recent actions — per agency.

Read-only. No exports, no stage changes, no internal notes — and nothing outside this organisation.
Hiding a button is not security. Who can see what is settled underneath the whole system, which means a screen nobody has built yet is already bounded correctly.
The boundary between your staff and an outside agency is enforced underneath the whole system, not screen by screen — so it holds everywhere, including on screens built later.
An agency sees what it referred and nothing else — no staff screens, no exports, no stage changes. Internal notes never reach them, and contact details are hidden on anything they did not refer themselves.
Deactivate an account and its very next action is refused. You do not wait for a session to expire.
Reversible deletes, a history that cannot be edited, and a record of who signed in and what they did.
Seven roles, and no ambiguity about any of them. Scoped means the role sees the same screen as everyone else, bounded — a team lead to their own team, an agency to its own students.

Six ways out of the box — your website forms, Meta Lead Ads, WhatsApp, partner referral links, spreadsheet import, and direct from a site or app you already run. Every route records where the student came from, so nothing arrives unattributed.
Yes. Your stages and the two-level status behind them are configurable from Settings — add, rename, recolour or retire without anyone touching code. Values already in use are protected from deletion, so last year’s reporting never breaks retroactively.
Only the students it referred — name, course interest and current stage. It cannot edit a student, move them, export them, or reach any staff screen, and internal notes are never shown. Contact details are hidden on anything the agency did not refer itself; on its own referrals it sees the phone number, because it collected it.
Each approved agency gets its own tracked link for every form you publish. A student arriving through that link is credited to the agency at the moment they submit, so it is recorded automatically rather than claimed later.
Yes. An import is checked against what you already hold and against the rest of the file before anything is written. Partner referrals are checked too — and the warning deliberately never reveals which other agency already holds that student.
Throughout, including the partner portal. The student list has a card view built for small screens, and a counsellor can work a full follow-up queue from a handset.
Any view exports to Excel in one click, carrying the exact filters you are looking at. The data is yours and there is no gate on taking it.
Nothing irreversible happens. The record moves to Trash and can be restored intact with its history. Permanent removal is a separate action, limited to admins.
On infrastructure you choose. It can be deployed to your own cloud account or a region you nominate — nothing forces it onto shared infrastructure alongside other institutions.
Yes. The system is sold and set up per institution, so the name and labelling throughout are yours.
The fastest way to judge this is to watch it run with your courses, your stages and your team on screen.
